In order to allow users (“you” or “your”) of the Sofitel MICE service (“Service”) accessible at sofitelmice.accor.com to benefit from the functionalities and numerous advantages of the Service, such as the creation of a Sofitel MICE account enabling the emission, the follow-up of requests for quotations and interactions with the hotels to which you send a request for the organization of events, SOLUXURY HMC, whose registered office is located at 82, rue Henri Farman, CS 20077, 92445 ISSY-LES-MOULINEAUX, processes some of your personal data in its capacity as data controller.
To provide you with transparent information about these processing activities and your rights in relation to them, SOLUXURY HMC has drawn up this Privacy Policy.
- 1 – WHAT PERSONAL DATA IS COLLECTED?
When you use the Service to request a quote from one or more hotels for the organization of an event, we collect the following personal data about you:
- Mandatory information when creating your Sofitel MICE account and sending your quote request: title, surname, first name, email address, telephone number, language, password
- Optional information within your Sofitel MICE account: secondary telephone number, postal address, billing details
- Information about your quote request: location, date of event, number of guests
- Your preferences or special requests, which you can formulate when submitting your request for a quote.
To satisfy your requests or to provide you with the appropriate service, we provide you with a free comment area. This allows you to express your preferences or any other information you consider useful in connection with your request. In this respect, we invite you not to write inappropriate, excessive or insulting comments and not to fill in any information that may contain sensitive data within the meaning of Article 10 of the GDPR. This sensitive data includes in particular:
– revealing racial or ethnic origin, political opinions, religious or philosophical beliefs or trade union membership,
– concerning the health, life or sexual orientation of an individual.
- 2 – FOR WHAT PURPOSES IS YOUR DATA COLLECTED AND HOW LONG IS IT STORED?
We collect and process your data to enable you to create your Sofitel MICE account, manage the transmission of your quote requests and interact with the selected hotel(s).
This processing activities is necessary for the performance of the service contract (general conditions of use) to which you are a party relating to the use of your Sofitel MICE account, the issuing and management of quotation requests addressed to the selected hotel. [OR1]
Unless otherwise stipulated by law or regulation, your data will be kept for 3 years from the date of your last activity.
- 3 – CONDITIONS OF ACCESS BY THIRD PARTIES TO YOUR PERSONAL DATA
Your personal data is intended for authorized SO LUXURY HMC personnel in charge of the sofitelmice.accor.com website and for the external service provider in charge of managing the Service.
Your personal data will also be passed on to the hotels to which you have sent a request for a quotation, in their capacity as separate data controller.
We may also be required by law to pass on your personal data to an administrative authority or an authorized public body.
- 4 – DATA TRANSFER OUTSIDE THE EEE
Your data may be transferred outside the European Economic Area (EEA) when this is necessary for the execution of your request for a quotation or when appropriate and suitable guarantees have been provided.
- 5 – DATA SECURITY
SOLUXURY HMC takes appropriate technical and organizational measures, in accordance with applicable legal provisions, to protect your personal data against destruction, loss or alteration, misuse and unauthorized access, modification or disclosure, whether such actions are unlawful or accidental. To this end, we have put in place technical measures (such as firewalls), organizational measures (such as an ID/password system and means of physically protecting infrastructure access) to ensure the ongoing confidentiality, integrity, availability and resilience of processing systems and services, as well as organizational measures to ensure the security of processing activities.
- 6 – YOUR RIGHTS
You have the right to obtain information and access to your personal data collected by SOLUXURY HMC, subject to applicable legal provisions. You also have the right to have your data corrected, deleted or to restrict processing activities. In addition, you have the right to portability of your data and the right to define instructions for processing activities after your death (so-called post-mortem right). In the interests of confidentiality and the protection of your personal data, we will need to identify you in order to respond to your request. To this end, if there are reasonable doubts as to your identity, you may be asked to enclose a copy of an official identity document, such as an identity card or passport, in support of your request. In this case, a black-and-white copy of one of these documents will suffice.
All requests will be processed as quickly as possible and in accordance with applicable law.
You may also exercise your rights with regard to your personal data stored and processed by a hotel in its capacity as data controller. To do so, you must contact the hotel directly. You will find all the information you need to contact a hotel on the sofitelmice.accor.com website.
Finally, you may lodge a complaint with a supervisory authority and you may contact the Accor Group’s data protection officer by writing to accorhotels.dpo(a)accor.com.
